Senior Executive Assistant

As Senior Executive Assistant to the CEO/Founder, this position is accountable for proactive one-on-one executive support including but not limited to: coordination of projects or commitments directly involving the CEO and Executive Team, development of draft communication and follow-up correspondence related to the CEO’s meetings and business, and independent leadership of special CEO-initiated projects. This role serves as a primary point of contact between internal and external constituents pertaining to CEO.

Key Responsibilities: 
  1. Prepare for, and facilitate a variety of Executive Team meetings.
  2. Coordinate/orchestrate projects or commitments directly involving the CEO and Executive Team. Assuring continuous alignment with internal and external stakeholders.
  3. Support the Executive Team’s communications with the CEO; facilitate decisions the executive staff need by receiving feedback from the CEO.
  4. Manage CEO’s intricate business schedule; responsible for scheduling travel, meetings, and other commitments; assists with the preparations necessary for such commitments; responsible for all calendar changes or cancellations as deemed necessary and/or appropriate. 
  5. Independent leadership of special CEO-initiated projects, ranging from written products to be authored by the CEO to convening thought leaders on various topics.
  6. Create and assemble dashboard with highly confidential documents as required. Also, prepares reports by collecting and analyzing information.
  7. Prioritize conflicting needs; assures CEO receives the support required to be successful; handles matters expeditiously and proactively.
  8. Coordinate with other departments as necessary for preparation of specific engagements; maintain and organize detailed schedule.
  9. Manage Brief Media’s shared Outlook calendar.
Skills & Qualifications: 
  • 7+ years executive level administrative experience
  • Bachelor’s degree
  • Strong critical thinking skills; ability to quickly and effectively respond to questions with accurate thorough answers or guide to other resources
  • Highly-developed communications skills (written/verbal); professional interpersonal acumen.
  • Results/action-orientation; project management skills
  • Organizational and political agility; developed negotiation skills
  • Unquestionable personal code of ethics, integrity, diversity and trust
  • Able to successfully navigate within varying degrees of ambiguity in a fast-paced environment
  • Must have complete knowledge of booking domestic and global travel at an executive level
  • Must be extremely familiar with Outlook calendar scheduling and have experience managing a complex calendar in global time zones
  • Accustomed to Google applications, specifically Google Sheets and Docs
